Change of Venue Announcement Wording for Weddings and Parties

Clear venue and event-time change messages, plus a checklist for updating maps, artwork and guests after invitations go out.

A change of venue announcement should lead with what changed, state the new venue and address, confirm whether the date and time remain the same, and link to the updated directions. Contact guests directly; editing a website alone does not mean they will notice the change.

What should a wedding venue change message say?

“Important wedding update: our celebration on [date] will now take place at [new venue], [new address]. The start time remains [time]. Please use the updated directions here: [link]. Please reply to confirm you have seen this message. Thank you!”

Check every statement against the confirmed plan. If only the ceremony venue changed, say so explicitly and repeat where the reception takes place. A message saying “the venue changed” can send guests to the wrong place for the wrong part of the day.

Short change of location announcement

“Location update for [event] on [date]: the new venue is [name and address]. Start time: [time]. Updated details and directions: [link]. Please reply to confirm you’ve seen the change.”

Keep the complete address available even if you include a map link. Avoid relying on a venue name that could refer to several branches.

What if the event time changes too?

“Please note the updated plans for [event]: [date], arrival from [time], with [ceremony or activity] beginning at [time], at [venue and address]. These details replace those on the original invitation. Updated page: [link].”

State the final plan in one place. Asking guests to combine an old card with several correction messages makes errors more likely.

How do I update an invitation that has already been sent?

First confirm the new arrangements. Then update the event text, written address, map destination and arrival instructions. Check whether parking, transport or accessibility details also need changing.

No. Some guests will remember the original card or save the old address. Send a direct announcement through the channels you used to invite them and ask for acknowledgement. Call guests who are unlikely to see the message or whose travel plans are affected.

A read receipt is not the same as understanding. Track acknowledgements separately from attendance: a guest who already RSVPed yes still needs to know the new location.

What should I tell out-of-town guests?

Explain any practical effect on travel, parking and the gap between ceremony and reception. Give verified information; do not promise transport, refunds or accommodation changes that have not been arranged.
